Inventory count import
Overview
The inventory count lets you adjust the stock of many products at once from a physical count, instead of correcting them one by one. The flow is: you choose a location, Aurora generates an Excel template with your products and their current stock, you enter the real quantities, upload the file, and review the adjustments in an editor before applying them.
The count works by setting, not by difference: the quantity you enter becomes the new stock (Aurora calculates and records the adjustment). It's the bulk version of the manual adjustment you find on the Stock screen.
How to Access
- In Aurora Ventas > Inventory, click Inventory count.
- Required role: Administrator.
Interface Overview
The process has three moments:
- Count modal — you choose the location, download the template, and, when you finish counting, upload the file.
- Review editor (staging) — a table with each product, its current stock, the counted quantity, and the resulting adjustment. Here you fix things before applying.
- Application — you confirm and Aurora applies the adjustments; each one is recorded in the movement history.

Download the template
What it does: Generates an Excel with your inventoried products in a location and their current stock.
Steps:
- Open Inventory count.
- Choose the Count location.
- Click Download template. The file has one row per variant with: SKU, name, current stock, and a Counted quantity column (preloaded with the current stock).
- The counted quantity is the only column you edit.
Important notes: The template includes only inventoried variants tracked by Quantity and with a SKU. Variants tracked by lot or serial don't enter this flow.
Count and enter
What it does: You record what you physically counted.
Steps:
- Open the file in Excel (or Google Sheets).
- For each product, type the real quantity you counted in the Counted quantity column.
- Leave unchanged the rows that don't change; delete them if you don't want to touch them.
- Save the file in .xlsx format.
Upload the file
What it does: Loads your count and creates the import job.
Steps:
- Go back to the Inventory count modal.
- Click Upload count file and choose your
.xlsx. - Aurora extracts the rows and takes you to the review editor.
Review the adjustments
What it does: Shows you, row by row, Current stock, Counted quantity, and the Adjustment (the difference), so you can confirm before applying.
Steps:
- Review the table. Rows with errors (unknown SKU, invalid quantity) are highlighted; you can fix the cell.
- Before applying you'll see a summary: how many adjustments will be applied, how many units to add and how many to subtract, and in which location.
- Click to apply. Aurora sets each variant to its counted quantity and records an Adjustment movement (reason Cycle count).
- When done you'll see "Count applied" and you'll be able to go to stock.
Important notes:
- Rows with no changes don't generate adjustments and products not in the file aren't touched (they aren't set to zero).
- Each applied adjustment appears in the movement history of its variant.
Count-in-progress banner
While a count is under review or being applied, the Inventory screen shows a notice:
- Under review — "You have a count under review… Continue" takes you back to the editor.
- Being applied — "Applying count…" (informational, no action).
- With an error — "The count … failed. View detail".
Important Notes
- The file must be .xlsx. Other formats are rejected.
- Up to 10,000 rows per file. For larger volumes, split by location or in batches.
- The process is resumable: if it's interrupted (you close the browser, the connection drops), the work continues in the background; you don't need to re-upload the file.
- The count adjusts one location at a time — the one you chose when generating the template.
FAQ
Q: What happens to the products I didn't include in the file? A: They aren't touched. Only the rows present in the file are adjusted.
Q: I counted and the quantity is the same as the system. Is anything recorded? A: No. Rows whose count matches the stock don't generate any movement.
Q: Can I undo an applied count? A: There's no undo button. If you made a mistake, count again and upload a new file with the correct quantities, or correct the variant from Adjust in Stock.
Q: Does it work for lots or serials? A: No. The bulk count covers variants tracked by Quantity. Lots and serials are adjusted by other means.
