Sales documents and branding

Overview

Your quotes and orders can be downloaded as a PDF with your company's image. In Settings > Documents you define once how those documents look — logo, brand color, layout, and texts — and Aurora applies them to every PDF you generate. A preview shows you live how your customer will see it.

How to Access

  • In Aurora Ventas, go to catalog Settings and open Documents.
  • To download a PDF, use Download PDF in the detail of any order or quote.

Interface Overview

The Documents screen has, on one side, the settings, and on the other, the preview ("Sample document · letter size · this is how your customer will see it"). The settings are:

  • Logo — printed in the header.
  • Brand color — the soft background and the text tone are automatically derived from it.
  • Document layout — applies to quotes and orders.
  • Texts — terms and footer, independent per document type.
  • Tax data — comes from your billing information and is printed in the header.

Features & Actions

What it does: Defines the image that appears in your documents' header.

Steps:

  1. In Logo, drag your image or click to choose it.
  2. Formats: PNG, JPG, or WebP, maximum 2 MB.
  3. To remove it, use Remove logo.

Choose the brand color

What it does: Sets the document's main color.

Steps:

  1. In Brand color, choose your color.
  2. Aurora automatically derives the soft background and the text tone from it.

Choose the layout

What it does: Changes the document's visual template.

Steps:

  1. In Document layout, choose between:
    • Classic — formal, serif typography.
    • Modern — editorial, with color accents.
  2. The preview updates instantly. The layout applies to both quotes and orders.

Define the texts

What it does: Configures the terms and the footer, separately for quotes and orders.

Steps:

  1. In Texts, switch between the Quotes and Orders tabs.
  2. Enter the Terms and conditions and the Footer.
  3. On quotes, the terms are preloaded when you create a new one and remain editable in each document. On orders, the terms are printed on each one.

Save the changes

What it does: Applies the configuration to your future documents.

Steps:

  1. Review the preview.
  2. Click Save (or Discard changes to revert). You'll see "Changes saved".

Download a PDF

What it does: Generates the document of an order or quote with your branding.

Steps:

  1. Open the order or quote detail.
  2. Click Download PDF. The file uses your logo, color, layout, and texts.

Tax data

The Tax data block (legal name, tax regime, address, contact) comes from your billing information and is printed in the header. If you haven't entered it yet, documents come out only with your company's name. To edit it, go to your billing information in Settings.

FAQ

Q: Can I have different terms for quotes and orders? A: Yes. The texts are independent per document type — each one has its own terms and footer.

Q: I changed the quote terms. Does it affect the ones already created? A: No. Terms are preloaded when you create a new quote; existing ones keep theirs and are edited document by document.

Q: Can I change the tax data from here? A: No. It comes from your billing information; edit it there and it's reflected in the documents.

Q: Can I send the document via WhatsApp directly? A: For now you download the PDF and share it yourself. Direct sending from Aurora is coming later.
