Broadcast Editor

Overview

The Broadcast Editor is where you configure the content, select recipients, and send a broadcast campaign. The editor is organized into three tabs that guide you through the process: define the message content, filter and browse available contacts, and review the final list of selected contacts before sending.

How to Access

  • Navigate to Broadcast, then click on a broadcast to edit it
  • Required role: Admin

Interface Overview

The Broadcast Editor has three tabs:

  1. Content — Configure the message to send
  2. Available Contacts — Browse and filter contacts to add to the broadcast
  3. Selected Contacts — Review and manage the final list of recipients

A Send button is available to dispatch the broadcast, and a Back button returns to the broadcast list.

Features & Actions

Configure Message Content (Content Tab)

What it does: Sets up the message that will be sent to all selected contacts.

Steps:

  1. Select the Content tab
  2. Choose the message type:
    • Message — A simple text message
    • Chatbot — Trigger a workflow/chatbot for each recipient
    • WhatsApp Template — Use a pre-approved WhatsApp message template
  3. Depending on the type selected:
    • For Message: Type the message text in the text area
    • For Chatbot: Select the workflow to trigger
    • For WhatsApp Template: Select a template and fill in any required variable values
  4. Changes are saved when you save the broadcast

Important notes:

  • WhatsApp templates must be pre-approved by WhatsApp before they can be used in broadcasts
  • Using a chatbot will start a workflow session for each recipient
  • The message type affects what options are available

Filter and Add Contacts (Available Contacts Tab)

What it does: Browse your contact list with filters and add contacts to the broadcast recipient list.

Steps:

  1. Select the Available Contacts tab
  2. Use the filters to narrow down contacts:
    • Date Range — Filter by contact creation or last activity date
    • Funnel — Filter by sales funnel
    • Stage — Filter by funnel stage
    • Owner — Filter by assigned user
    • WhatsApp Active — Filter for contacts with active WhatsApp conversations

  3. Click Search to apply filters
  4. Browse the filtered results in the data table
  5. Select individual contacts or use bulk selection
  6. Click Add to add selected contacts to the broadcast

Important notes:

  • Filters can be combined to create precise audiences
  • The contact list uses server-side pagination for performance with large contact databases
  • Contacts already in the selected list are indicated
  • The maximum number of contacts per broadcast is 400 when not using a chatbot on non-WhatsApp Business channels

Review Selected Contacts (Selected Contacts Tab)

What it does: Shows all contacts currently included in the broadcast, with their delivery status after sending.

Steps:

  1. Select the Selected Contacts tab
  2. Review the list of recipients
  3. Remove individual contacts if needed by clicking the remove option
  4. After sending, this tab shows the delivery status for each contact

Important notes:

  • Before sending, this tab shows the contacts you have added
  • After sending, each contact's row shows whether the message was delivered, failed, or is pending

Send the Broadcast

What it does: Dispatches the broadcast to all selected contacts at the scheduled time.

Steps:

  1. Ensure the content is configured (Content tab)
  2. Ensure contacts are selected (Selected Contacts tab)
  3. Click the Send button
  4. In the send dialog, select the Date and Time for sending
  5. Confirm to send the broadcast

Important notes:

  • You can schedule the broadcast for a future date and time
  • Once sent, the broadcast status changes to "New" and then "Sending" as messages are dispatched
  • You can monitor delivery progress on the Selected Contacts tab
  • Ensure your content and contact list are final before sending, as changes cannot be made to a broadcast in progress

Save the Broadcast

What it does: Saves the current broadcast configuration (content and contacts) without sending.

Steps:

  1. Click the Save button
  2. The broadcast is saved as a draft

FAQ

Q: How many contacts can I send a broadcast to? A: The default limit is 400 contacts per broadcast when not using a chatbot on non-WhatsApp Business channels. WhatsApp Business API channels may support higher limits based on your account tier.

Q: Can I schedule a broadcast for later? A: Yes. When you click Send, you can choose a specific date and time for the broadcast to be dispatched.

Q: What happens if some messages fail? A: Failed messages are tracked on the Selected Contacts tab. You can copy the broadcast with the "Only failed messages" option to retry just the failures.

Q: Can I edit a broadcast after it has been sent? A: No. Once a broadcast is sending or completed, its content and recipient list cannot be modified. You can create a copy for a new campaign.

Q: What is the difference between "Message" and "WhatsApp Template" content types? A: "Message" sends a plain text message. "WhatsApp Template" uses a pre-approved template format required by WhatsApp for business-initiated messages outside the 24-hour conversation window.

Q: What does the "Chatbot" content type do? A: Instead of sending a static message, it starts a workflow (chatbot) session for each recipient, allowing for interactive automated conversations.
