Managing Opportunities

Overview

Opportunities represent potential deals or active engagements moving through your sales pipeline. This article covers how to create, edit, reassign, and manage individual opportunities. You can update an opportunity's owner, stage, follow-up date, deal amount, and description from multiple places in the interface.

How to Access

  • Opportunities are managed from the Funnel Board and from the Contact Profile sidebar.
  • Available to all roles based on team membership.

Creating an Opportunity

From the Funnel Board

Steps:

  1. Click Add New on the funnel board.
  2. Select or create a contact:
    • Search for an existing contact using the search field.
    • Or click Add New to create a new contact inline.
  3. Select a channel (if multiple WhatsApp channels are configured).
  4. Click Submit.
  5. The opportunity is created in the first stage of the selected team's funnel.

From a Conversation

Steps:

  1. Open a conversation in the Inbox.
  2. In the contact profile sidebar, use the Funnel dropdown to select a team.
  3. The system automatically creates an opportunity linked to the current contact and conversation.

Important notes:

  • A channel is required. If no channels are available, an error message is shown.
  • The opportunity is always created in the first (leftmost) stage of the funnel.

Quick Opportunity Controls

When viewing an opportunity (either in the funnel board detail view or the conversation sidebar), a set of inline controls lets you quickly modify key properties:

Change Owner

What it does: Reassigns the opportunity to a different team member.

Steps:

  1. Click the owner button (shows current owner name or "Unassigned").
  2. Select a team member from the dropdown, or choose Unassigned.
  3. The change is saved immediately.

Details:

  • The button appears red when the opportunity is unassigned.
  • The button appears blue when an owner is assigned.

Change Team/Funnel

What it does: Moves the opportunity to a different team's funnel.

Steps:

  1. Click the team/funnel button (shows current team name).
  2. Select a different team from the dropdown.
  3. The opportunity is moved to the first stage of the new team.

Change Stage

What it does: Moves the opportunity to a different stage within the current team.

Steps:

  1. Click the stage button (shows current stage name).
  2. Select a stage from the dropdown.
  3. The change is saved immediately.

Details:

  • The button color indicates the stage type:
    • Blue: Active stage
    • Green: Won stage
    • Red: Lost stage

Set Follow-Up Date

What it does: Sets or updates a reminder date for the opportunity.

Steps:

  1. Click the calendar-clock button (shows current follow-up date or just the icon).
  2. A date/time picker opens.
  3. Select a date and time.
  4. Click Save to confirm, Cancel to discard, or the trash icon to remove the follow-up date.

Details:

  • The button appears red if the follow-up date is past due.
  • The button appears yellow if the follow-up date is in the future.

Set Deal Amount

What it does: Updates the monetary value associated with the opportunity.

Steps:

  1. Click the dollar button (shows current amount or just "$").
  2. Enter the deal amount in the input field.
  3. Click Save to confirm, Cancel to discard, or the trash icon to reset to zero.

Important notes:

  • This control only appears if the team has the "Deal Amount Enabled" setting turned on.
  • Amounts are displayed in the local currency format.

Editing Opportunity Details

Edit Description and Properties

What it does: Opens a full edit form for the opportunity.

Steps:

  1. Open the opportunity's detail view (click a contact name in the funnel board).
  2. Click the pencil (edit) icon.
  3. Modify the description text.
  4. Click Submit to save, or Cancel to discard.

Delete an Opportunity

What it does: Permanently removes the opportunity.

Steps:

  1. Click the trash (delete) icon on the opportunity card or detail view.
  2. Confirm the deletion in the dialog. The confirmation shows the opportunity name, funnel, and current stage.
  3. Click Delete.

Important notes:

  • Deleting an opportunity does not delete the contact or their conversation history.
  • This action cannot be undone.

Real-Time Updates

The funnel board receives real-time updates:

  • Opportunity changes: When another team member moves, edits, or deletes an opportunity, the board updates instantly.
  • New messages: When a customer sends a new message, the corresponding opportunity card updates its last message preview, last activity time, and unread badge.
  • Unanswered status: The unanswered indicator updates in real-time as messages are answered.

FAQ

Q: Can a contact have multiple opportunities? A: Yes. A contact can have opportunities in different teams, or multiple opportunities within the same team at different stages.

Q: What happens when I move an opportunity to a different team? A: The opportunity is placed in the first stage of the new team's funnel. You can then move it to a different stage within that team.

Q: Does deleting an opportunity affect the contact's conversation? A: No. The contact and their message history remain intact. Only the opportunity (deal tracking) is removed.

Q: How do I mark an opportunity as Won or Lost? A: Move it to a stage that has been configured with the "Won" or "Lost" stage code. The stage determines the status, not a separate field.
