Facebook Lead Ads Integration
Overview
The Facebook Lead Ads integration connects your Facebook (and TikTok) Lead Ad forms to Aurora Inbox. When a potential customer fills out a lead form on Facebook or TikTok, the lead information is automatically imported into Aurora Inbox, a conversation is created on a selected WhatsApp channel, and an AI chatbot workflow can be triggered to follow up immediately. This integration enables real-time lead capture and automated response.
How to Access
- Navigate to Sidebar > Tools > Integrations, then click on the Facebook Lead Ads (or TikTok Lead Ads) card
- Required role: Channels Administrator
- The integration must be connected before the configuration panel appears
Interface Overview
Once the integration is connected, the detail page displays two tabs:
- Connected Forms tab -- Shows a table of all lead forms that are currently connected, with options to add, edit, or disconnect forms
- Leads tab -- Shows a searchable, paginated table of all leads received through the connected forms
Connected Forms Tab
- An Add button in the top-right opens the form connection wizard
- A table with columns: Page, Form, Chatbot, and an actions menu
- Each row's action dropdown menu includes Edit and Disconnect options
Leads Tab
- A Refresh button (sync icon) next to the tab title reloads the leads table
- A data table with columns: Creation Date, Form, User Name, Status, and a link to the conversation
- Status indicators: green checkmark for successfully processed leads, red X for errors
- Error messages are displayed inline for failed leads

Add a Connected Form (Connect a Lead Form)
What it does: Links a Facebook/TikTok Lead Ad form to Aurora Inbox so that new leads are automatically captured and processed.
Steps:
- Click the Add button on the Connected Forms tab
- A wizard dialog opens with Step 1: Select Page, Form, Channel, and Chatbot
- Page: Select the Facebook/TikTok page from the dropdown. Use the sync button to refresh the list of pages from the external platform
- Form: Select the lead form associated with the chosen page
- Channel: Select the WhatsApp channel that will be used to send messages to the lead
- Chatbot: Select the AI chatbot workflow that will handle the lead
- Click Next to proceed to Step 2: Map Fields
- Map each Aurora Inbox contact field to the corresponding question in the lead form
- Available fields: Phone (required), Name, Email, Company
- Select the matching form question from the dropdown for each field
- Click Connect to save the form connection
- The dialog closes and the Connected Forms table updates
Important notes:
- The Phone field mapping is required; without it, Aurora Inbox cannot create a conversation with the lead
- Name, Email, and Company are optional mappings but recommended for complete contact records
- You must have at least one WhatsApp channel configured to use this integration
- The Chatbot dropdown lists all workflows configured in your account
Edit a Connected Form
What it does: Modifies the channel, chatbot, and field mappings for an existing form connection.
Steps:
- Click the actions menu (three dots) on a connected form row
- Select Edit
- A dialog opens showing the current Channel, Chatbot, and field mappings
- Modify the selections as needed
- Click Save to apply changes
Important notes:
- You cannot change the page or form of an existing connection; disconnect and reconnect to change those
- The Phone field mapping remains required when editing
Disconnect a Form
What it does: Removes the connection for a specific lead form. New leads from this form will no longer be captured.
Steps:
- Click the actions menu (three dots) on a connected form row
- Select Disconnect
- The form is disconnected immediately (a loading spinner appears during processing)
Important notes:
- Previously received leads are not deleted when a form is disconnected
- You can reconnect the same form at any time
Sync Pages and Forms
What it does: Refreshes the list of available pages and forms from the external platform (Facebook/TikTok).
Steps:
- Open the Add dialog
- Click the sync button (circular arrows icon) next to the Page label
- Wait for the pages and forms to reload
Important notes:
- New pages or forms created after the initial connection require a sync to appear in the dropdown
View Leads
What it does: Displays all leads received through connected forms with their processing status.
Steps:
- Click the Leads tab
- Browse the leads table which shows creation date, form name, user name, and status
- Click the refresh button (sync icon) next to the Leads tab title to reload the data
- Use the search functionality to filter leads
- Click on a lead's conversation link (if available) to open the associated conversation
Important notes:
- Lead status values: Successfully processed (green checkmark), Error (red X with error message)
- The table supports server-side pagination and search
- Each lead may have an associated conversation (room) that you can view directly

Important Notes
- Only WhatsApp channels are available for lead form connections
- The Phone field mapping is required; the form cannot be connected without it
- When a new lead arrives, Aurora Inbox creates a contact (if not existing), starts a conversation on the selected channel, and triggers the assigned chatbot workflow
- Only Channels Administrator users can manage form connections
- The integration works for both Facebook Lead Ads and TikTok Lead Ads using the same interface
FAQ
Q: Can I connect multiple lead forms to the same chatbot? A: Yes, each form connection is independent and can use the same or different chatbot workflows.
Q: What happens when a lead comes in but the phone number is invalid? A: The lead will be recorded with an error status. You can see the error message in the Leads tab.
Q: Why don't I see my Facebook pages in the dropdown? A: Click the sync button to refresh the list. Make sure the Facebook account connected to the integration has admin access to the pages.
Q: Can I use this with Instagram Lead Ads? A: Currently, this integration supports Facebook Lead Ads and TikTok Lead Ads. Instagram Lead Ads support depends on the platform's API availability.
Q: What WhatsApp channels can I use? A: Only WhatsApp channels (WhatsApp Business API and WhatsApp Cloud API) are available for lead form connections.
