Managing Contacts

Overview

Managing Contacts covers adding new contacts and editing existing contact information. Aurora Inbox stores contact details including name, phone number, email, and company name, along with custom properties that your organization defines.

How to Access

  • Add a contact: From the Contacts List, click Add New. Or, when creating a new conversation in the Inbox, click Add New in the contact selector.
  • Edit a contact: Click a contact's name in the Contacts List, or view them in the contact profile sidebar in the Inbox.
  • Available to all roles: Admin, Agent, and Supervisor.

Add Contact Form

A modal dialog with three fields:

  • Name (text input)
  • Phone (international phone input with country selector)
  • Email (text input)

Edit Contact Form

The edit form appears in two modes:

  • View mode (default): Displays the contact's information as read-only text with an Edit button.
  • Edit mode: Converts fields to editable inputs with Submit and Cancel buttons.

The form includes:

  • Name
  • Phone (with international phone input)
  • Company Name
  • Email
  • Creation Date (view only)

The edit form also supports a compact mode used in the contact profile sidebar, showing the same fields in a more condensed layout.

Features & Actions

Add a New Contact

What it does: Creates a new contact record in your organization's database.

Steps:

  1. Open the Add Contact form (from Contacts List or New Conversation dialog).
  2. Enter the Name (required).
  3. Enter the Phone Number (required):
    • Select the country from the dropdown (defaults to Mexico).
    • Type the phone number in national format.
    • The system automatically converts it to international (E.164) format.
  4. Enter the Email (optional).
  5. Click Add to create the contact.

Important notes:

  • The phone number is validated. Invalid numbers show an error message.
  • The preferred countries in the phone input are: Mexico, Colombia, Argentina, and Chile.
  • If a contact with the same phone number already exists, the server may return an error.

Edit an Existing Contact

What it does: Updates the contact's name, phone, email, or company name.

Steps:

  1. Navigate to the contact's profile (click their name in the Contacts List, or view them in the Inbox sidebar).
  2. In the contact information section, click the Edit button.
  3. The fields become editable:
    • Name: Update the contact's name (required).
    • Phone: Update the phone number using the international phone input. If the contact is a group, the phone field is hidden.
    • Company Name: Set or update the company name.
    • Email: Update the email address (validated format).
  4. Click Submit to save changes.
  5. Click Cancel to discard changes and return to view mode.

Important notes:

  • If the contact already has a phone number, it remains required during editing.
  • If the contact has no phone number (e.g., a Facebook Messenger contact), the phone field is optional.
  • Group contacts cannot have their phone number edited.

View Contact Information

What it does: Displays the contact's details in read-only format.

In view mode, the following information is displayed:

  • Name
  • Phone Number
  • Company Name
  • Email
  • Creation Date (shown in compact/sidebar mode only)

FAQ

Q: Can I add a contact without a phone number? A: When adding a contact from the Contacts List, a phone number is required. Contacts created through other channels (e.g., Facebook Messenger) may not have a phone number.

Q: What countries are supported for phone numbers? A: All countries are supported. The preferred/default countries shown at the top of the selector are Mexico, Colombia, Argentina, and Chile, but you can search for any country.

Q: Can I merge duplicate contacts? A: Contact merging is not available through this interface. Contact your administrator for assistance with duplicates.

Q: Can I edit a group contact's phone number? A: No, the phone field is hidden for group contacts.
